Sample & Order Policy
This page explains how sample orders, bulk orders, lead times, and quality claims work at LAIYI JEWELRY CO., LTD. ("LAIYI"). It supplements our Условия Использования. In case of conflict, the Terms of Service prevail.
1. Sample Orders
Sample orders are small pre-production runs (typically 1–5 units) that let you verify design, finish, stone setting, and fit before committing to a bulk order.
1.1 Sample fees
- Sample fee: USD 50–200 per design (depends on complexity, mold reuse, plating). Quoted in advance.
- Sample fee is non-refundable — it covers material, labor, and machine setup.
- Sample fee discount: if the sample is approved and a bulk order (≥ MOQ) is placed within 60 days, the sample fee is credited 100% toward the bulk order.

1.3 Sample revisions
- Each design includes 1 round of minor revisions (color, finish, plating thickness) at no extra charge.
- Major revisions (new size, new stone, new structure) are treated as a new design and incur a new sample fee.
1.4 Sample shipping
- Sample shipping cost is paid by the Client (DHL Express, FedEx, EMS).
- Lead time for shipping: typically 3–7 business days.
- Sample shipments include: invoice, packing list, Certificate of Origin (Thailand), and any requested test reports (SGS, XRF).
2. Bulk Orders
2.1 Minimum Order Quantities (MOQ)

2.2 Bulk order lead time
Lead time is calculated from receipt of the confirmed purchase order + 50% deposit.
Standard lead times (after sample approval):
- ~2 weeks for production using an existing mold.
- 3–4 weeks for production that requires a new mold.
- + 1–2 weeks for ODM projects (concept → CAD → production).
Lead times are estimates. A firm delivery date is committed in the order confirmation. Larger orders (>1,000 units) may take longer; quoted case-by-case.
2.3 Order payment
- 50% deposit on order confirmation.
- 50% balance before shipment (after QC photos/video approval).
- Methods: Bank wire (T/T), Wise, PayPal (small orders only), or Alibaba Trade Assurance (for new clients).
3. Quality & Inspection
- Every order goes through a multi-step QC: raw material, casting, soldering, stone setting, plating, final inspection.
- Pre-shipment photos and short QC video are sent to the Client for approval.
- Third-party inspection (SGS, Bureau Veritas, TÜV) is welcome and can be arranged at the Client's expense.
- Industry-acceptable defect rate on bulk orders: ≤ 2%.
4. Returns, Refunds & Defects (RMA)
4.1 Sample orders
- Sample orders are non-refundable and non-returnable (except for verified defects).
- If the sample arrives damaged or with a verified defect, we will re-make the sample at no charge.
4.2 Bulk orders
- Cancellations are accepted within 48 hours of deposit with a 20% administrative fee.
- After production begins, no cancellation is possible.
- Custom-made products (designed per Client specification) are non-returnable except for verified defects.
4.3 Defect claims (RMA process)
- Notify us by email at orders@laiyijewelry.com within 7 days of receipt.
- Include: order number, photo / video evidence, description of the defect, and quantity affected.
- Our QC team will investigate and respond within 3 business days.
- If the defect is confirmed as a manufacturing fault:
- ≤ 2% of order quantity: replacement units are produced in the next batch, or credit is issued.
- > 2% of order quantity: full re-make, refund, or store credit at the Client's choice.
5. Tooling, Molds & IP
- Tooling fees for new molds are quoted separately and are non-refundable once production has begun.
- Once paid, the mold is the property of the Client. LAIYI stores molds for 24 months from the last order; thereafter, the Client must confirm re-storage in writing or the mold may be scrapped.
- All designs, CAD files, branding, and logos provided by the Client remain the Client's property. LAIYI will not share, copy, or reproduce them for any third party.
- LAIYI may showcase finished products in our portfolio (website, social media, trade shows) only with the Client's written consent.
6. Compliance & Ethical Sourcing
- LAIYI is a member of the Responsible Jewellery Council (RJC).
- We source metals and stones from conflict-free, RJC-certified suppliers.
- We comply with the Dodd-Frank Act (Section 1502), EU Conflict Minerals Regulation, and the Kimberley Process.
- Documentation: Certificate of Origin (Thailand), RJC Chain of Custody (where applicable), material test reports (SGS, XRF) on request.
